THE GROVE PREGNANCY ADVICE CENTRE (PAC) DATA PROTECTION TERMS and CONDITIONS (PRIVACY NOTICE)


This statement explains the privacy and the Data Protection practices provided by The Grove Pregnancy Advice Centre (PAC). Personal information is processed by The Grove PAC for the provision of activities and services, under the following terms and conditions.


The Grove PAC activities and services

We offer support to:

● those making decisions in the face of an unexpected pregnancy

● those who struggle to come to terms with an experience of abortion, miscarriage or baby loss

● those who need practical support, for whom a pregnancy and the first year of parenting presents financial difficulties


Employees and Volunteers

Name and contact details, including postal address, email address, home and mobile telephone numbers will be recorded on a secure database. This information will be used by staff employed by the Grove PAC and volunteer teams for the provision of activities and services and not shared with anyone outside of the organsiation without the individual’s permission. Unless otherwise requested by the named person this information will be retained for as long as the individual is employed or volunteers at the Grove PAC, and for up to one year afterwards.


Supporters 

For those individuals or groups who support the Grove PAC both financially and in prayer and have requested regular updates contact details including name, postal address, email address, home and contact numbers will be recorded on a secure database. Unless otherwise requested by the named person this information will be retained for as long as the individual or group supports the Grove PAC, and for up to one year afterwards.



Clients

Name and contact details, including postal address, email address, home and mobile telephone numbers, age group if provided, and reason for referral/accessing activities and services will be recorded on a secure database together with any paper forms used to provide the data. This information will be used in the first instance to contact individuals regarding the provision of activities and services of the Grove PAC. Unless otherwise requested by the named person this information will be retained for as long as the individual accesses provision of activities or services of Grove PAC, and for Family Support clients 6 years afterwards.


Referring Organisation

Name and contact details, including postal address, email address and telephone numbers of Organisations referring to our activities and services will be recorded on a secure database together with any paper forms used to provide the data. This information will be used in the first instance to contact individuals regarding the provision of activities and services of the Grove PAC. Unless otherwise requested by the Referring Organisation this information will be retained for as long as the Organisation continues to refer individuals for provision of activities or services of Grove PAC, and for up to one year afterwards.


The Grove PAC Website

Any non-personal information such as IP address, pages accessed, and files downloaded will only be used to determine how many individuals use our site, how many people visit on a regular basis, which pages are most popular, and which pages are least popular. This information doesn't tell us anything about who you are or where you live, it is simply used to enable us to monitor and improve our service. 


Right to View, to Amend, or to be Forgotten

For information lawfully retained on the consent basis you can withdraw your consent at any time, and you have the right to ask to see copies of any personal information held by the Grove PAC, and to ask for the details to be updated, changed, or deleted.  


Subject Access Requests

As soon as a Subject Access Request is received this will be passed immediately to the Grove PAC’s Data Protection Officer. Any legitimate information requested will be provided to the person submitting the request within 28 days.


Data Breaches

In the event of a data breach the Data Protection Officer together with the Grove PAC Centre Manager and the Administrator will be notified who will initiate an investigation. If necessary all activity in the area of the breach will be suspended until the investigation has been completed. The person or persons who reported the breach will be notified of the outcome within 28 days.
